Preparation of minutes of ICSP meetings

Secretaries of subcommittees should submit online minutes of meetings to the IJSEM Editorial Office as soon as possible after the meetings have been held. The minutes will be forwarded to the Secretary for Subcommittees for further action. Those not complying with the following recommendations will be returned to the subcommittee secretary for revision.

Minutes should be concise and to the point. Although brief statements of taxonomic opinions may be included, the details of any taxonomic discussions should be excluded and should be published in the IJSEM as a report of the subcommittee. Secretaries of international taxonomic subcommittees and of the International Committee on Systematics of Prokaryotes (ICSP, formerly ICSB) are requested to comply with the following recommendations if they wish to have their minutes published in the IJSEM. See the template below.

  1. The minutes should be numbered consecutively and should be headed by as few words as possible to indicate the content.
  2. The first minute should be headed 'call to order' and should mention the time, the place, and the person who called the meeting to order.
  3. The second minute should be the 'record of attendance' and should clearly differentiate between subcommittee members and invited guests.
  4. Other minutes should deal with the significant business conducted during the meeting.
  5. The last minutes should include a complete listing of the current membership, the time and place of the next meeting, if known, and a statement of adjournment.

Publication of minutes in a standard form will facilitate the work of those who must process the minutes and maintain the membership lists and will expedite and reduce the cost of publication. On acceptance, the manuscript must be supplied as a word-processor file.
